This Proctoring Consent document explains the monitoring and security measures used during proctored assessments on the XAM platform. By proceeding with a proctored assessment, you consent to the data collection and monitoring practices described below.
Important: Proctoring consent is required each time you take a proctored assessment. If you do not consent, you will not be able to proceed with the assessment.
2. What is Proctoring?
Proctoring is a set of monitoring technologies and procedures used to maintain assessment integrity and prevent cheating. XAM offers multiple levels of proctoring depending on assessment requirements set by the assessment creator.
The specific proctoring features enabled for your assessment will be displayed before you begin, and you will have the opportunity to review and consent to them.
3. Proctoring Features
Standard Proctoring
Available on all proctored assessments:
- Webcam Recording: Video recording of you during the assessment
- Audio Recording: Audio capture to detect unauthorized assistance
- Screen Recording: Recording of your screen activity throughout the assessment
- Browser Lockdown: Prevention of new tabs, windows, and navigation away from the assessment
- Copy/Paste Blocking: Prevention of copying questions or pasting answers
- Fullscreen Enforcement: Requirement to stay in fullscreen mode
AI-Powered Analysis
Automated monitoring using artificial intelligence:
- Face Detection: Verification that you remain in front of the camera
- Multiple Person Detection: Alerts when additional people are detected
- Eye Tracking: Analysis of gaze patterns to detect looking away from screen
- Audio Analysis: Detection of voices or suspicious sounds
- Behavior Analysis: Identification of unusual patterns that may indicate cheating
- Object Detection: Identification of unauthorized materials (phones, notes, etc.)
Pro Proctoring (Advanced)
Enhanced security features for high-stakes assessments:
- Background Application Tracking: Monitoring of all running applications
- Application Blocking: Prevention of unauthorized applications during assessment
- VPN Detection & Blocking: Detection and blocking of VPN usage
- Virtual Machine Detection: Prevention of assessment in virtual environments
- Secondary Device Detection: Monitoring for use of additional devices
- Network Activity Monitoring: Detection of suspicious network traffic
4. Data Collection
When you take a proctored assessment, we collect the following data:
Personal and Identity Data
- Name and email address
- Photo ID (if identity verification is required)
- Facial images captured during the assessment
Assessment Activity Data
- Video and audio recordings
- Screen recordings and screenshots
- Keystroke patterns and mouse movements
- Time spent on each question
- Navigation patterns within the assessment
Technical and Device Data
- IP address and geolocation
- Device type, operating system, and browser
- Hardware specifications (camera, microphone)
- Running applications and processes
- Network configuration and connection details
5. How We Use Proctoring Data
Proctoring data is used for the following purposes:
- Real-time Monitoring: To detect and flag potential violations during the assessment
- Post-Assessment Review: To allow assessment creators to review flagged incidents
- Identity Verification: To confirm you are the authorized test-taker
- Integrity Reports: To generate assessment integrity reports for the organization
- AI Model Improvement: Anonymized data may be used to improve proctoring accuracy
- Dispute Resolution: To resolve disputes about assessment conduct
6. Data Storage and Retention
Storage Practices
- All proctoring data is encrypted in transit and at rest
- Data is stored on secure servers with SOC 2 Type II certification
- Access is restricted to authorized personnel only
- Regular security audits ensure data protection
Retention Periods
- Video/Audio Recordings: 90 days (or longer if flagged for review)
- Screen Recordings: 90 days
- Activity Logs: 12 months
- Flagged Incidents: Duration of dispute resolution plus 12 months
- Aggregated Analytics: Indefinitely (anonymized)
7. Who Has Access to Your Data
Your proctoring data may be accessed by:
- Assessment Creator/Organization: The entity that created the assessment you are taking
- XAM Support Team: For technical support and dispute resolution
- AI Systems: Automated analysis for violation detection
- Regulatory Bodies: If required by law or legal process
We do not sell proctoring data to third parties or use it for advertising purposes.
8. Your Rights
You have the following rights regarding your proctoring data:
- Access: Request a copy of your proctoring data
- Correction: Request correction of inaccurate data
- Deletion: Request deletion of your data (subject to retention requirements)
- Objection: Object to certain processing activities
- Complaint: Lodge a complaint with a supervisory authority

9. System Requirements
To take a proctored assessment, your device must meet these requirements:
- Working webcam with minimum 720p resolution
- Functional microphone
- Modern web browser (Chrome, Firefox, Safari, or Edge)
- Stable internet connection (minimum 1 Mbps)
- Permissions granted for camera, microphone, and screen sharing
- Adequate lighting for clear video capture
10. What Happens If You Don't Consent
Consent to proctoring is required to take proctored assessments. If you choose not to consent:
- You will not be able to start or complete the proctored assessment
- Contact the assessment creator for alternative arrangements if available
- Non-proctored assessments (if offered) do not require this consent
11. Violations and Consequences
Types of Violations
The following may be flagged as violations:
- Leaving the assessment window or opening other applications
- Having other people in the room or visible on camera
- Using unauthorized materials, devices, or resources
- Looking away from screen for extended periods
- Covering or obstructing the webcam
- Unusual audio detected (voices, reading aloud)
- Attempting to disable or circumvent proctoring
Violations are reported to the assessment creator, who determines appropriate consequences according to their policies. XAM does not determine academic or employment consequences.
12. Tips for a Successful Proctored Assessment
- Find a quiet, well-lit room with no distractions
- Ensure you are alone in the room
- Clear your desk of all unauthorized materials
- Close all other applications and browser tabs
- Disable notifications on your device
- Use a wired internet connection if possible
- Have your ID ready if identity verification is required
- Test your camera and microphone before starting
- Keep your face clearly visible in the camera throughout
13. Technical Support
If you experience technical issues during a proctored assessment:
- Do not close the assessment window
- Try refreshing the page (your progress is auto-saved)
- Check your internet connection
- Contact our support team immediately at support@xam.to
- Notify the assessment creator about the issue
14. Updates to This Consent
We may update this Proctoring Consent document to reflect changes in our practices or technology. You will be asked to review and consent to the current version each time you take a proctored assessment.
